Who do I contact and how?

General contact details

 To email the school, you can either:

  1. Email the staff member direct (email addresses are given on the Staff List webpage).
  2. Use the enquiry form on the website, starting your message with either the name of the staff member you are trying to reach (if you know it) or with the reason for your email.
  3. Email enquiries@ralphallenschool.com – in the subject line, put either the name of the staff member you want to reach or the reason for your email.

 To phone the school, either:

  1. Phone the person direct (if you have their direct line – extension numbers for key staff are available online).
  2. Contact Front of House on 01225 832936. They will transfer you to the correct person or department.

 

For particular issues

 Who do I contact about an issue/problem:

  • With my child?

If subject related: their teacher (of that subject).

If pastoral:  their Tutor, then Student Services Key Workers and then the Head/Assistant Head of House.

  • With a teacher? 

If subject related: the teacher, then if the problem is not resolved the Curriculum Team Leader .

If pastoral: their Head/Assistant Head of House.

  • With my child’s year group? 

Their Head/Assistant Head of House or a Student Services Key Worker.

  • With my child’s learning group?

Their Tutor and then Head/Assistant Head of House.

  • With my child’s tutor group?

Their Tutor and then Head/Assistant Head of House.

  • With another student?

Their Tutor. If this does not resolve the issue, then their Head/Assistant Head of House.

  • About anything else?

Email enquiries  enquiries@ralphallenschool.com – in the subject line, put the reason for your email.  Alternatively, phone Front of House on 01225 832936. They will transfer you to the correct person or team. 

Who do I contact about lost property?

Student Services Key Workers on 01225 832936.

Please note that unnamed lost property is held for a short while and then given to charity. The school has plans to involve volunteers in this task – please watch this space for more information.

Who do I contact with absence requests?

  • For appointments? (medical etc)

Notes about appointments should be written in your child’s planner so that their Tutor notes them. Alternatively, you can inform the attendance officer.  See the attendance page for further information.

  • For holidays?

Complete a Request for authorised absence during term time form (available on website in 'Letters and Documents') and submit it to school.

Who do I contact to explain after my child has been absent?

  • Due to illness?

If your child is ill, you must phone the school every day of their absence (unless you know the exact date when they will return, when you can tell the school the date your child will return to school). 

You can explain their absence in writing (in their planner/by note/by email) but it isn’t necessary if you have already phoned.

  • For appointments? (medical etc)

You can write a note in your child’s planner. Your child will need to show it if they are signing it or out during the school day for an appointment.

Handing things in

  • How does my child hand in homework that is late (for example, if they’ve missed a lesson due to illness)?

Your child should try to find the teacher, either in their room or in the faculty office. If they can’t do this, each teacher has trays in the staff room, so your child can hand it in there.

  • How does my child hand in money?

Your child should hand in money at the Finance Office. A poster on the Finance Office door clearly states the opening hours and there will always be someone in attendance. There is a tray there for handing things in which do not require a receipt.

  • How does my child hand in reply slips and forms?

Reply slips should say who they should be handed to. It is usually either:

  • Their Tutor
  • The Student Services Office
  • Finance Office (if accompanied by money).

 

  •  How does my child hand in medicine/s?

Each student who needs special medicines has their own individual arrangements, made with the AEN Dept. The school keeps a list of medical needs. If your child needs their medications, they should approach Mrs Witcombe in the AEN Dept.
